The Retention Engine

Nobody announces they're quitting. They just fade.

The member who cancels in October really left in August. The 4x a week athlete slid to twice, then once, then gone. You were coaching classes, so nobody caught it. That gap between the fade and the cancel email is where an Affiliate bleeds revenue. This engine closes that gap.

Step 1 · Health Scoring

Every member, measured against their own normal.

Fran compares each member's last two weeks of check-ins against their own four-week normal. Not an industry average, not some generic "engagement score." Their normal. The 5am regular who drops to twice a week gets flagged. The twice-a-week member who's steady does not.

Everyone lands in one of four buckets: healthy, cooling, at risk, or ghost. New members get a grace period. Frozen memberships don't count against you. And you can mark travel, injury, or comped so the board matches real life.

Step 2 · The Save List

The drift, priced. The save, ranked.

Your Board opens on the members who need you this week. The monthly revenue at stake sits right in the headline. At-risk members rank above ghosts because you can still reach them. The freshest absences rank first. A member gone 9 days is much easier to save than one gone 28.

Work the list top to bottom and your time always goes where it protects the most revenue. No spreadsheet. No guessing about who you haven't seen lately.

Step 3 · The Send

Fran writes it. You send it. The relationship stays yours.

Tap once and Fran drafts a personal check-in from that member's real pattern, in your voice. Warm, casual, no guilt trip, and never a word about "attendance data." The draft opens in your own Messages app, ready to go. You read it, tweak it if you want, and hit send like any other text.

Nothing goes out on its own, ever. Your members hear from their coach, from the coach's number, sounding like the coach. The software does the watching and the writing. The human does the relationship. That split is the whole philosophy: replace tasks, never people.

And every day · Today at the Box

Retention starts with noticing today, not next month.

Your Board shows every class on today's schedule, with check-ins as they happen and what that class usually pulls right beside the number. "6 checked in, usually 11" at the 5:30am is something you can act on before lunch. Fran learns each class's usual turnout from its own recent weeks. A soft morning stands out at a glance instead of hiding in a month-end report.

Coach check-ins don't pad the numbers. Open gym gets its own line. The whole day totals at the top. It's the same instinct you have walking the floor, backed by a real count.

Run the math on silent churn

Say three members drift out in a month at $180 each. That is about $6,500 a year in dues, gone without a sound.

This is an example, not a promise: if OTB helps you save two of those members in a month, that is $360 in dues against a $197 subscription. Everyone you keep after that is money you were not going to see again.

And that math only counts the first save. A member you keep also brings referrals, holds the community together, and spares your coaches another familiar face gone missing.

Straight answers

Does Fran message my members automatically?

No, and that's on purpose. Fran watches attendance, flags who's slipping, and writes the check-in text in your voice. You read it and send it from your own phone. Your members hear from their coach, not from software. We replace tasks, never the relationship.

What if I'm not on PushPress or Wodify?

PushPress connects with an API key in about a minute. Wodify connects the same way on plans that include API access. On anything else, including entry Wodify plans, Mindbody, or Zen Planner, you upload your member list instead and the board fills in from it. Briefs, leads, tasks, SOPs, and Fran work no matter what your gym runs.

How does the lead link get on my website?

You get a link and a QR code. Put the link behind the button you already have (Free Intro, Get Pricing, Contact) or in your Instagram bio. Nothing about your website changes. When someone fills it out, you get the push and the drafted reply.

I already pay for PushPress or Wodify. Why add this?

They answer different questions. Your platform runs the business: billing, scheduling, check-ins. OTB reads that data every night and hands you the short list of members who need you today, with the text already drafted. Cancel us tomorrow and your gym software keeps running exactly as it does now.

How long does setup take?

Minutes, honestly. Connect PushPress or Wodify with an API key from its dashboard, or upload your member list if you run something else, and your member health board fills in from your real data. No migration, no second system for your coaches to learn.

Is my member data safe?

Your gym's history lives in your account and it is yours: export it or delete it anytime, right from Settings. Your API keys are stored encrypted. When you leave, you can take your data with you or delete it, your call.

What does it cost, and is there a free trial?

$197/mo, month to month. Your first week is free: you connect your gym software and see your own member health board before you pay a cent. Cancel anytime from Settings, then Billing. Self-serve, no emails required.

What will I actually see during the free trial?

Everything, with your real data. Connect or upload on day one and your member board fills in. Most owners see their Save List the same day and send their first check-in from it. If it doesn't show you a single member worth texting, cancel during the trial and you pay nothing.

Can it hold our SOPs and procedures?

Yes. The SOP library is your gym's operating manual: closing checklists, refund policy, holds, emergency procedures, written once and versioned forever. Your coaches see what you published, never your drafts. When a coach asks Fran a how-do-we question, she answers from your published SOPs. No SOP on file? She says so instead of making one up.

Can my coaches and whoever runs the business side have their own logins?

Yes, and every seat is included. You invite them from Settings and they land on the same board you do: members, the Save List, the Committed Club, Fran, and their own tasks. Billing, your gym software connection, and who has access stay yours alone. Turn a login off and they are signed out on their next tap.

Can it help me get more Google reviews?

Yes, the right way. When a member crosses a real milestone, like their 100th check-in or one-year anniversary, Fran suggests the ask with the congratulations text written and your review link attached. You send it from your own phone at their proudest moment. Nobody is ever asked twice. It always asks for an honest review and never offers anything in exchange. That keeps you inside Google's review policies.

Am I locked into a contract?

No. Month to month, cancel anytime, right from your billing settings. Walk away whenever, no hard feelings, and your data leaves with you.
